(henceforth \u2018PECB\u2019 and \u2018we\u2019 and other related pronouns) is the data controller and processor of the information provided for registration, application, training, examination, and certification purposes, as well as support services.<\/p><p>As declared in our data protection policy, we are dedicated to and responsible for processing the information of our employees, customers, stakeholders, and other interested parties with full caution and confidentiality. This policy describes how we collect, store, handle and secure our data.<\/p><p>The rules outlined in this document any form of data, be them stored electronically, on paper, or on any other storage device.<\/p><h2>2 Privacy Elements<\/h2><p>As part of our operations, we gather and process information or data that can make individuals identifiable, including, but not limited to, full name, phone number, account credentials, and home address.<\/p><p>The use of personal data by PECB is governed by the Canadian Personal Information Protection and Electronic Documents Act (PIPEDA), European General Data Protection Regulation (EU-GDPR), and other national privacy legislation that offer the same level of data protection as the GDPR.<\/p><p>We are committed to process all personal data under our control in accordance with data protection principles.<\/p><p>The data we process data will be:<\/p><ul><li><span style=\"background-color: transparent;\">Processed in a lawful, fair, and transparent manner<\/span><\/li><li><span style=\"background-color: transparent;\">Collected only for specific, explicit, and limited purposes (purpose limitation)<\/span><\/li><li><span style=\"background-color: transparent;\">Adequate, relevant, and not excessive (data minimization)<\/span><\/li><li><span style=\"background-color: transparent;\">Accurate and kept up-to-date, where necessary<\/span><\/li><li><span style=\"background-color: transparent;\">Kept for no longer than necessary (retention)<\/span><\/li><li><span style=\"background-color: transparent;\">Handled with appropriate security and confidentiality<\/span><\/li><\/ul><h2>3 Roles and Responsibilities<\/h2><p>All PECB employees and collaborators are responsible for ensuring that the collection, storage, handling, and protection of data is done appropriately. Information Security Manager<\/h3><ul><li><span style=\"background-color: transparent;\">Oversee and improve cybersecurity awareness programs and risk management regularly<\/span><\/li><li><span style=\"background-color: transparent;\">Collaborate with the Security Committee in leading the design, implementation, operation, and maintenance of the information security management system (ISMS) based on the ISO\/IEC 27000 series standards<\/span><\/li><li><span style=\"background-color: transparent;\">Ensure periodic testing are conducted to evaluate the security posture of information security<\/span><\/li><li><span style=\"background-color: transparent;\">Lead the design and operation of related compliance monitoring and improvement activities to ensure compliance both with internal security policies and applicable laws and regulations<\/span><\/li><li><span style=\"background-color: transparent;\">Develop and manage controls to ensure compliance with the requirements of various security laws, standards, and regulations<\/span><\/li><\/ul><h3>3.3. IT Systems Manager<\/h3><ul><li><span style=\"background-color: transparent;\">Strictly comply with all PECB policies related to non-disclosure, non-competition, and the confidentiality of information<\/span><\/li><li><span style=\"background-color: transparent;\">Constantly stay up to date on various web technologies and tools<\/span><\/li><li><span style=\"background-color: transparent;\">Perform networking systems hardware and software upgrades and install security patches, as needed<\/span><\/li><li><span style=\"background-color: transparent;\">Check and monitor the general health of networks and networking devices<\/span><\/li><li><span style=\"background-color: transparent;\">Perform daily system monitoring, verify the integrity and availability of all hardware, server resources, systems, and IT processes, review system and application logs, and verify completion of scheduled jobs such as backups<\/span><\/li><li><span style=\"background-color: transparent;\">Implement, configure, and maintain computer networks, software, and digital security<\/span><\/li><\/ul><h3>3.4. Compliance Department<\/h3><ul style=\"margin-left: 40px;\"><li>Ensure that access to the personal data of Certification holders, Trainers, Examiners, Examinees, and Invigilators will not be shared with or provided to unauthorized parties<\/li><li>Additional documents and data provided by applicants are being stored appropriately and centralized to ensure the confidentiality, integrity, availability of the data<\/li><\/ul><h3>3.5. Business Development Department<\/h3><p>Ensure that access to PECB Authorized Partners and Agents\u2019 personal data:<\/p><ul style=\"margin-left: 40px;\"><li>Is restricted to authorized personnel only<\/li><li>Will not be shared with or provided to unauthorized parties<\/li><\/ul><h3>3.6. System Administrator<\/h3><p>Ensure that access to the personal data of members registered on the PECB Website:<\/p><ul style=\"margin-left: 40px;\"><li>Is restricted to authorized personnel only<\/li><li>Will not be shared with or provided to unauthorized parties<\/li><\/ul><h2>4 General Guidelines<\/h2><ul style=\"margin-left: 40px;\"><li>Personal data of stakeholders shall be restricted only to employees who need it to complete their job in line with their job responsibilities.<\/li><li>Informally sharing data is prohibited. When access to confidential information is needed, employees shall request it from their immediate superior.<\/li><li>All PECB employees shall undergo comprehensive training to help them understand their responsibilities when handling personal data.<\/li><li>Data in the process by employees shall be kept secure and stored following the data storage guidelines presented in the chapter below.<\/li><li>In particular, account credentials and passwords shall be kept in encrypted storage with restricted access.<\/li><li>Personal data shall not be disclosed or communicated to unauthorized people, either within the company or externally.<\/li><li>When unsure about any aspect of data protection, employees shall request assistance from their immediate superior or the Data Protection Officer.<\/li><\/ul><h2>5 Data Storage<\/h2><p>These rules describe the storage and the process of safely storing data. Data is stored on paper shall be kept in secure storage limited to authorized personnel only. The guideline also applies to electronically stored data printed out for specific reasons.<\/p><ul style=\"margin-left: 40px;\"><li>Hard copy files shall be kept in a locked drawer or filing cabinet.<\/li><li>Employees with access to hard-copy files shall ensure confidentiality and maintain a clean desk policy.<\/li><li>When no longer needed, printed files shall be securely shredded and disposed of.<\/li><\/ul><p>When data is stored electronically, it must be protected from unauthorized access, accidental deletion, and malicious hacking attempts.<\/p><ul style=\"margin-left: 40px;\"><li>Data shall be protected with strong passwords that are changed regularly and never shared between employees.<\/li><li>Data shall not be stored on removable media (like a CD or DVD). If necessary for job purposes, removable media shall be kept locked and secure.<\/li><li>Data shall only be stored on designated servers at PECB premises and shall only be uploaded onto approved cloud computing services.<\/li><li>The minimum requirements for encryption are AES 128 Bit. This is for data in transport or at rest, whether stored in premises or the cloud.<\/li><li>Secure communication is empowered in PECB with TLS (Transport Layer Security) using Microsoft Exchange, Sendinblue, or Amazon SES while communicating via email.<\/li><li>Servers containing personal data shall be sited in a secure location where access is restricted to authorized personnel only. The site must be monitored and access-controlled.<\/li><li>Data shall be backed up daily. Backups shall be tested regularly, in line with the company\u2019s standard backup procedures.<\/li><li>Data shall never be saved directly to laptops or other mobile devices (e.g., tablets or smartphones).<\/li><li>All servers and computers containing data shall be protected by approved security software and a firewall.<\/li><li>All data entering PECB systems and website are stored as unique and measures to prevent privilege escalation are taken.<\/li><li>All data entering into the database of the PECB website are protected with certificates that ensure encrypted communication when receiving and sending information.<\/li><\/ul><h2>6 Data Usage<\/h2><ul style=\"margin-left: 40px;\"><li>All data collected by PECB are strictly for PECB-related services. They are used to provide complete responses or services. No other non-PECB related service will be offered from the data collected.<\/li><li>When working with personal data, employees shall ensure their computer screens are always locked when left unattended.<\/li><li>Data shall be encrypted before being transferred electronically.\u00a0<\/li><li>Employees shall not save copies of personal data to their computers.
